Digitizing a large archive is not just “scanning” — done well, it turns decades of paper into a secure, searchable asset; done badly, it produces a folder of images nobody can use. Here is how large archives are digitized properly in Egypt, step by step.

Step 1 — Survey and assess
Every serious project begins with a survey, not a scanner. Before a single page is captured, the volumes, formats and condition of the archive are mapped: how many pages and boxes, what document types (A4, A3, large-format drawings, bound ledgers, microfilm), the physical condition, and the compliance obligations that govern them. This assessment determines everything downstream — equipment, staffing, timeline and cost. Skipping it is the most common reason projects run over budget.
Step 2 — On-site or in-facility?
Sensitive archives — government records, banking files, HR and medical data — often cannot leave the building. A capable partner can run production capture on-site, under full chain of custody, so documents never leave your control. Less sensitive material is processed faster in a secure scanning facility. The right answer depends on confidentiality requirements and volume; frequently it is a mix of both.
Step 3 — Preparation
Preparation is unglamorous and decisive. Staples and bindings are removed, torn pages repaired, documents sorted and batched, and separator sheets inserted so the system knows where one record ends and the next begins. Well-prepared batches scan cleanly at speed; poorly prepared ones jam, misfeed and produce errors that cost far more to fix later.
Step 4 — Capture and OCR
Production scanners capture thousands of pages an hour with automatic double-feed detection and image enhancement. For Egyptian archives, OCR must be tuned for both Arabic and Latin scripts — a detail generic bureaus routinely get wrong. Capture resolution (usually 300 dpi for text) and colour mode are set to balance fidelity against file size, and every batch passes quality control before it moves on.
Step 5 — Indexing and metadata
This is where images become records. Each document is tagged with the metadata your teams actually search by — reference number, date, department, client, contract ID. Indexing is what lets someone retrieve one file out of two million in seconds. It can be done manually, automatically from OCR text, or through AI classification that recognises and extracts fields on arrival.
Step 6 — Secure delivery into a system
The end product is not a hard drive of images. It is a structured, searchable record set delivered into a document management system — whether that is EIS Nexus or a platform you already run — with role-based access, audit trails and retention policies intact. Choosing a digitization partner in Egypt
